Job Summary


The Fellowship Program Administrator is responsible for the day-to-day administration of an ACGME fellowship training program(s) and serves as the subject matter expert for fellowship administration. Depending on the size and complexity of the program(s), this role may provide day-to-day guidance to a fellowship coordinator who supports the administration of the program. The role may have a significant financial/grant management component depending on the fellowship(s). The incumbent partners with the program director(s) in developing and maintaining the educational quality of the training program and ensuring compliance with ACGME/GME and other regulatory requirements. This role is the primary administrative contact for trainees. Within this framework the Fellowship Program Administrator is responsible for the following programmatic aspects of the fellowship(s):

  • Fellow Appointments and Credentialing
  • Recruitment, Onboarding, and Orientation
  • Evaluations
  • Program Accreditation
  • Daily Administrative Guidance to Fellows
  • Fellow Scheduling and MedHub Compliance
  • Finance and Budget Management
  • Other Administrative Tasks (directly supporting education) The Fellowship Program Administrator reports directly to the Fellowship Programs Manager with an indirect reporting line to the Fellowship Program Director(s). This position follows procedures and best practices as put forth by the DOM Office of Education.

    ***NOTE: This is a hybrid role. The final salary and offer components are subject to additional approvals based on UC policy.Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF.     Department Description

    The Department of Medicine (DOM) is the largest department in the School of Medicine (SOM) at UCSF. The DOM has an annual budget of -$500M across three sites with -3,000 employees. The DOM comprises 22% of all UCSF faculty, 26% of the SOM's faculty, and 20% of the SOM budget. For the past 30 years, the DOM has consistently ranked among the top four departments of medicine in the country, and in the past seven years, the department has been the number one recipient of NIH research dollars.

    The Department of Medicine's mission is research, both basic and clinical, teaching, patient care and public service. The Department has a decentralized organizational structure across six sites - Parnassus, SFGH, VAMC, Mt. Zion, Laurel Heights, and Mission Bay, with approximately 40 divisions. Authority and accountability for the Education Division programs resides with the Associate Chair for Education who works with Residency and Clinical Fellowship Program Directors at all sites to achieve the academic mission.

    The UCSF DOM hosts 20 ACGME fellowship programs with over 150 ACGME fellows and as well as over 70 non-ACGME fellows along with the two residency programs. These programs are some of the best in the country, leading in clinical care and research.



    Required Qualifications

    • Bachelor's degree in related area and / or equivalent experience / training
    • Min 5 years related experience
    • Advanced knowledge relevant policies and regulatory requirements. Advanced knowledge of a health professions education program curriculum and requirements. Maintains a broad range of expertise in health professions education theory and industry best practices
    • Advanced knowledge of administrative analysis and operations research. Demonstrated ability to apply knowledge and skills to develop and implement complex processes and systems improving program quality and efficiency and reducing cost
    • Advanced organizational and project management skills. Ability to lead a team, prioritize personal and team tasks and see projects through from inception to completion on schedule. Advanced personal organization skills and ability to apply to administration of the entire program including organizing critical files for compliance
    • Excellent communicator; includes verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills. Ability to handle sensitive personal information with appropriate discretion and judgment
    • Advanced interpersonal skills. Skills to work collaboratively coordinate and integrate with others throughout the organization. Successful experience working with people with a wide range of backgrounds and skills

      • Master's degree in related area preferred
