SpecialistThe Benefits Specialist will develop policies related to
employee benefits to ensure they align with the organization's
goals and values. This role will ensure our Benefits programs and
processes are set up for scalability through automation while
maintaining operational and regulatory compliance. The Benefits
Specialist will collaborate closely with HR, finance, payroll, HR
innovations, Rewards, and external partners and vendors to develop
scalable plans and processes to ensure that all benefits programs
are compliant, effectively administered, and aligned with company
policies. The role will have a key role in vendor management,
regional benefits audits, and supporting internal and external
global audits. The Benefits Specialist is responsible for project
managing and executing on regulatory and compliance requirements,
ensuring compliance with all regulations related to employee
benefits, including but not limited to ERISA, HIPAA, COBRA, ACA,
ADA, FMLA, 401(k), and RRSP.What you'll do:
- Develop policies related to employee benefits to ensure they
align with the organization's goals and values. Work with legal and
external counsel to stay updated on evolving benefits regulations
and apply changes as necessary.
- Ensure employee-available content & communications are up to
date and accurate.
- Work closely with the payroll team to provide recommendations
for mapping & processing benefit-related taxes, ensuring accurate
tax reporting, and maintaining compliance with all regulations
related to employee benefits.
- Ensure benefits and leaves compliance with USA federal and
state regulations including HIPAA, COBRA, ACA, ADA, FMLA, and
others as applicable.
- Administer compliance for benefits plans including Form 5500
for health benefits and pension plans, 401(k), and capital
accumulations plans including RRSP, testing and compliance.
- Manage all non-exempt employment classifications to ensure
Federal and State compliance; ensure impacted teams are aware of
any compliance changes (Payroll, HRBPs, team leads, etc.) and any
required system updates are implemented in partnership with the HR
Tech team.Vendor and Contract Management:
- Manage relationships with benefit vendors, ensuring compliance
with contractual obligations in collaboration with the legal and
procurement teams, focusing on regulatory compliance.
- Monitor vendor performance to ensure compliance, and manage
renewals and contract updates as necessary.
- Ensure accuracy of invoices from vendors; process payments as
required.Data Management & Reporting:
- Ensure that benefit records are up-to-date in Workday and all
compliance-related reports are accurately maintained.
- Run quarterly and annual reports related to compliance (e.g.,
ACA, Form 5500, etc.).
- Collaborate with the HR team to track all required reporting
deadlines and ensure compliance filings are accurate and timely.Who
you are:
- Bachelor's Degree in HR, Business Administration, or a related
field.
- 3-5 years of experience in benefits administration or benefits
compliance.
- Proven ability to manage benefit vendors, contract
negotiations, and compliance-related vendor performance.
- Excellent organizational, problem-solving, and project
management skills.
- Experience working with audits, including providing necessary
documentation and liaising with auditors.
- Strong attention to detail with the ability to manage multiple
projects simultaneously.
- Familiarity with benefits administration systems such as
Workday and compliance tools like ACA Track.
- Experience working in global or multinational companies with
deep expertise in the U.S.
- Knowledge of additional compliance standards such as GDPR for
data privacy.
- Experience in collaborating and partnering with
cross-functional teams related to benefits and
compliance.Preferred:
- In-depth knowledge of US benefits regulations including HIPAA,
COBRA, ACA, ADA, FMLA, and other federal and state mandates.
- Strong experience with Form 5500 filing, non-discrimination

We are an office-first company and value in-person collaboration;
