Program Assistant - $40K

Job Description:

A growing non-profit in Berkeley is currently seeking a highly organized and professional Program Assistant to join our dynamic administrative team in a growing office of thirty employees. Under the supervision of a senior member of our Learning Initiative, the individual will organize and conduct program-related tasks meeting administrative (or department-specific) support needs of multiple projects, program director(s) and team members. An important aspect of this position will be to handle meeting coordination and logistics planning for off-site organizational meetings. This is an entry level position with an opportunity to gain working knowledge of the organization.



Key Responsibilities



? Perform various support tasks with supervision, assisting others or working in teams, and maintaining support processes.


? Assist with and organize events for the Linked Learning District Initiative Pathway and District Leadership Series. This includes meeting preparation for off-site conferences and events, including securing hotel contracts, event registration and response tracking arranging logistics, travel planning, and material production.


? Format and assemble binder and packet materials for professional development events or media/communication presentations. Pack and organize equipment and materials for events.


? Support the Linked Learning coaches' community through calendaring meetings, formatting and disseminating agendas, taking meeting notes, and providing general meeting support.


? Create, format, and proofread documents and various spreadsheets.


? Assist with data and resource collection.


? Update and maintain accurate lists of contact information for program-area specific projects.


? Review and track consultant invoices and prepare consulting agreements.


? Organize and update the shared drive, intranet or an online platform, with program-related content.


? Schedule departmental meetings, make meeting preparations, take notes, arrange for catering.


? Prepare departmental shipments and mailings.


? Coordinate some tasks and training for temporary employees.


? Perform select front desk and general administrative duties as assigned.


? Attend team meetings and provide cross-program support as needed.


? Other duties as assigned.



Qualifications



The successful applicant will have the following qualifications:



? Bachelor's degree preferred with a minimum of one year of relevant experience


? Minimum of 70 wpm typing score preferred, as well as a preferred score of 80%+ score in Microsoft Office Suite.


? Excellent (above average) computer skills with demonstrated proficiency in MS Word, Excel, Power Point, and some database experience.


? Excellent organizational, management, collaboration and administrative skills


? Strong oral, written and communication skills, including writing, editing and proofreading.


? Well-developed problem solving and quantitative skills.


? Demonstrated ability to work well with clients, consultants, management and staff.


? Ability to anticipate needs, take initiative, assume responsibility for tasks, set priorities, manage multiple tasks and meet deadlines effectively.
