Northern California is seeking a REI Coordinator Full Time Monday -
Friday 8am-4pm in our San Francisco offices. This position works
closely with the team clinicians to facilitate the planning and
implementation of patient care through administrative and clerical
processes. In addition, this position enhances the effectiveness of
the team performance by providing information management support;
by implementing administrative systems and procedures; by
monitoring projects, and by performing basic secretarial services.
This position works with minimal instruction or direction.Essential
Functions:
- Assist nurse with completion of Patient Checklist by the date
of cycle start (most serious accountability): Monitor patient
charts for completion and accuracy prior to GND
- Use Artemis to make sure all required labs, tests, clearances
and procedures have been done and that appropriate progress notes
have been recorded or records Abridged
- Confirm labs are back and entered in patient's file; Make sure
the appropriate consent(s) have been signed and are in patient
file
- Ensure genetic testing and counseling has been completed.
Follow-up on results/reports
- Ensure waivers are obtained (as directed by MD/RN)
- Fax daily prescriptions to pharmacies as per protocol
- Complete Prior Authorizations as required for medications
- Communicate with insurance companies accordingly to complete
medication authorizations, file appeals or address coverage
concerns
- Recognize and provide verbal formulary updates to pharmacies
per insurance requirements
- Initiate Prior Authorization via phone or electronically
(Navinet) for patient procedures (ex: HSGs, MRIs)
- Triage patient inquiries; handle basic questions of a
non-clinical nature
- Make copies and compile new patient folders for RNs
- Send E-learning classes to patients
- Work with Medical Records to complete requests for releasing
medical records; review records for accuracy and completeness prior
to sending
- Accept/make patient phone calls within established
timelines
- Take voicemail and manage (triage) patient calls for assigned
nurse
- Act as point person for nurse when is not available to take a
patient call
- Conserve physician/nurses' time by reading and routing
correspondence; drafting letters and other documents; collecting
and analyzing information; initiating telecommunications
- Provide historical reference by developing and utilizing filing
and retrieval systems
- Contribute to team effort by maintaining an excellent rapport
and working relationship between Clinical Services, Patient
Services, Laboratory Services, Finance and Administration,
Marketing and other departments within the Practice
- Query pending lab work and obtain/enter results
- Assist with facilitating transmittal and receipt of outside
monitoring orders and results
- Accurately enter labs in Laboratory Log
- Accurately document ultrasound report in stim sheet
- Maintain safe and clean working environment by complying with
procedures, rules, and regulations, and calling for assistance from
other health care support personnel when appropriate
- Protect patients and employees by adhering to infection-control
policies & protocols and medication storage procedures
- Ensure operation of equipment by following manufacturer's
instructions; advise supervisor when there are equipment problems
or failures.Requirements
- High School Diploma acceptable with appropriate hands-on
experience. Associate Degree and/or CMA certification
preferred.
- Experience in a multi-physician practice (three or more
physicians) with proven work experience in both clinical and
administrative areas preferred. Women's medicine preferred.
- Knowledge of medical terminology and/or
anatomical/physiological knowledge
- An understanding of physicians', nurses' and patients'
motivations and concerns with a sensitivity to their needsIVI-RMA
