Manager based in San Francisco, CA is responsible for creating an
exceptional working environment for 250+ staff in the San Diego
office. The candidate will also assist the Facilities Operations
team in supporting the operational needs of 50+ offices serving
4,000 US based employees. The Office Administrator will ensure our
offices are best-in-class, safe and present an outstanding work
environment.We are looking for an energetic candidate who will lead
the office's workplace solutions and is equipped to work
effectively with many different teams of people including senior
management. Moreover, the Office Administrator needs to be able to
attend to multiple concerns, events and projects requiring advanced
organizational ability and prioritization
skills.Responsibilities:
- Responsible for day-to-day office management of the San
Francisco, CA and support of smaller satellite offices.
- Provide excellent customer services to our staff related to
office and facilities needs.
- Oversee supplies, company-supplied food, internal office moves,
guest management, parking allocations, switchboard.
- Liaison with landlords on day-to-day operations and landlord
provided services such as cleaning, building engineering, security
and other services.
- Manage service contractors for the office: scheduled and/or
equipment maintenance & minor renovation and handyman
projects.
- Oversee purchasing for the office and monitor costs, create
purchase orders, review and approve invoices.
- Coordinate all in-office functions, such as space planning;
seating chart; sustainability efforts; shipping/receiving & mail
services; office-wide & special events; catering.
- Participate in the wellness/life/safety functions by scheduling
required events: such as fire drills, floors wardens, CPR/AED
training.
- Utilize & Manage day-to-day Integrated Work
Management/Experience System (IWMS).Basic Qualifications:
- Bachelor's degree from an accredited, not-for-profit.
- A track record of commitment to prior employers.
- Aptitude for collaboration and leadership/facilities
administration or a related field.
- 2 + years of facilities management experience or 2+ years in
similar role managing a large office (250 staff/40,000 sf).
- Experience and proficiency using IWMS software.
- Experience with facilities operations project planning and
management.
- Effective analytical and problem-solving skills, as well as
high attention to detail and organizational skills.
- Advanced proficiency in Microsoft Office suite including Excel,
PowerPoint, SharePoint, etc.
