Operations Manager Job Summary: Under the general direction of the Executive Director, the Operations Manager will be responsible for overseeing the day to day operations functions of the organization and will perform a wide variety of tasks related to operations, human resources and administrative support for BHNC. This position will work with the Executive Director to implement and executive office and operational procedures, coordinate administrative HR and Benefit administration, onboard and offboard employees and supervise the BHNC Receptionist. The Operations Manager will also coordinate with the HR Consultant and Legal to resolve employee related concerns. This onsite position requires assertive leadership and an innate ability to create and implement systems, demonstrate strong multi-tasking skills, utilize organizational skills as a talent and operate in discretion and patience. This individual must be an exceptional communicator and must able to assess and communicate emerging issues with with ease. PRIMARY RESPONSIBILITIES:

  • Main point of contact on a day-to-day basis for general operations and safety.
  • Troubleshoot issues and concerns of staff and escalated issues from program participants, with a high degree of skill & coordination
  • Administer medical, health, dental, life, retirement, including processing open enrollment Human Resource general administration, ADP Administrative payroll support, submittal and filing of worker's compensation claims, circulation of HR/Benefits documents and coordinating trainings, COBRA, onboarding, offboarding, leaves
  • Onboarding of new hires, terminations and exit interviews
  • Supervise receptionist and properly delegates operational tasks through Asana
  • Coordinates projects from start to finish and ensures cohesive process and outcomes.
  • Oversee offsite storage and transition to a cloud based system for the department.
  • Coordinate maintenance of facility & equipment, supplies, communication infrastructure (including IT, voice) support to ensure system requirements to manage growth expectation and meet end user needs
  • Approve operation invoices for processing in Sage.
  • Support mail processing and distribution to staff.
  • Oversees safety of the office, including workplace violence and city wide health mandates
  • Support special events coordination of Fiesta On The Hill, Hillwide, Open House
  • Participate in Annual Membership Drive and other Special Events as assigned
  • Coordinate staffing and booking for community room rentals, monthly renters and special events
  • Support program coverage when needed.
  • Other duties as needed.
    KNOWLEDGE/SKILLS REQUIRED BY THE JOB:
    Project Management: Ability to oversee and manage operational projects while providing a team approach for completion. Minimum of three years of Operations and Supervision experience with demonstrated growth showing increasing responsibility. Commitment to social action, social justice, delivery of quality services, and development of people into leaders. Conflict resolution skills required. Ability to interact with persons of various social, cultural, economic, and educational backgrounds. Skills in negotiating, exchanging ideas, opinions, and information with others to formulate operational procedures. Ability to create action and work plans designed to streamline projects and efficiencies in the office.
    Communication: Excellent writing and oral communication skills. Ability to read, analyze, and interpret and teach general information. Ability to write monthly reports, business correspondence, and procedure manuals. Ability to define problems, collect data, establish facts, and draw valid conclusions and to differentiate areas within the scope of responsibility and identify areas needing additional support. Ability to present information and respond to questions from youth, seniors, work groups, managers, vendors and the general public. Ability to inspire, motivate and support staff and communicate daily with the Executive Director.
    Technology/Technical: MS Office, Gmail proficiency requiredComfortable using project management tools, such as ASANA. Comfortable using zoom and other forms of communication tools.

    WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Must be able to climb stairs to access second floor. There are no unusual environmental conditions. Typically, the noise level in the work environment is usually moderately noisy. This position is 100% onsite.
    Classification: Full Time, Confidential Position
    Hours: Full-time, exempt, onsite, 9:00am - 5:00pm, with some weekends for evenings for special events, rental coverage.
